about the role
The Studio & Project Coordinator is driven and experienced excelling in both project coordination and studio management. This role is instrumental in ensuring the seamless operation of our studio while delivering an elevated luxury design experience to our clients. Responsibilities vary from managing timelines, expediting procurement, and vendor relations to maintaining day-to-day operations in the studio. The ideal candidate will be highly organized, detail-oriented, and customer-focused, with a proven ability to manage multiple priorities and stakeholders effectively.
A DAY IN THE LIFE
Client Concierge:
- Document and vet potential clients and leads
- Guide clients through the entire project process – from onboarding to project wrap
- Curate and deliver takeaways and gifts
Project Coordination:
- Utilize task management software to communicate project processes and status to team
- Ownership of tasks, big picture goal setting, forward thinking, and solutions to improve processes and efficiencies
- Communicate and manage schedules for trade and design teams
- Vendor coordination for documentation with the design team during design development to initiate budget, request quotes, and organize proposal and presentation prep
- Execute and expedite purchase orders, tracking, receiving, and installation scheduling
- Close out project documentation and wrap
Studio Coordination:
- Utilize G-suite to communicate with team and associates
- Schedule studio events, meetings, trade shows, travel, and seminars
- Assist with executing social media for community connection, asset building, and industry engagement
- Work directly with Design Principal to set team goals and studio milestones
- Upkeep studio aesthetic, coordinate maintenance, and support a positive team morale

SKILLS + EXPERIENCE
Minimum 3 years working experience in customer service, hospitality, operations, project management, or related field
Prior experience leading projects, people, or systems
Excellent customer service and hospitality skills
G-suite and MAC proficiency
Strong organizational skills with attention to detail
Ability to effectively prioritize deliverables on multiple projects within project timelines
Strong written and verbal communication skills
Quick learner for new software and tech to achieve maximum efficiency and automation
Bonus: Working knowledge of interior design, architecture, and construction terminology
Bonus: Procurement and expediting experience
